Is Timix.AI right for me?

Is Timix.AI just a time tracker?

No — it's a billable-hours and margin tool. Plain timers tell you hours; Timix turns those hours into money. Every entry carries a bill rate and a cost rate, so you get live project budget health, team utilization, and true profit and margin per client and project — the PSA-grade picture, at a time-tracker price.

How is Timix.AI different from Harvest, Toggl, or Clockify?

Three things those trackers charge extra for — or skip — are included here: budgets that hard-stop at the cap, true client margin from separate cost and bill rates, and a built-in AI assistant that logs time from a sentence and answers questions about your data. Who is Timix.AI built for?

Service businesses that bill for time — IT services, law firms, consultancies, agencies, and design studios, typically from one person to a few hundred. If your work looks like Customer → Project → Task and you care about utilization and margin, it fits. One login can span several organizations, so consultants and fractional teams are first-class too.

Can I bring my existing customers, projects, and tasks in without re-typing everything?

Yes. Bulk CSV import covers customers, projects, tasks, and subtasks with full field coverage and validation (including country codes), so you can migrate from a spreadsheet or another tool in one pass. Auto-SubTask creation also lets you fill in structure as you go, instead of building the whole tree up front.

Billing, budgets & profitability

Can I track fixed-price and hourly work in the same project?

Yes. Billing types are set per entity in the hierarchy, so one project can hold T&M tasks billed by the hour, Fixed Price tasks tracked against a contract amount, and Overhead work carried as internal cost — side by side, each computed correctly in budgets and profitability reports.

Can I see profitability per client and per project, not just hours?

Yes — that's the core of Timix. Every entry carries a customer rate (revenue) and an employee cost rate, so revenue, cost, profit, and margin roll up from SubTask to Task to Project to Customer to your whole organization. Reports like Revenue Analysis, Project Analysis, and Customer Billing show which clients and projects actually make money.

What actually happens when a project hits its budget limit?

A configured cap is enforced at time entry: once a budget reaches its hour cap or fixed amount, new time against it is blocked. As hours approach the cap, the threshold alerts you set flag you (and the AI assistant) so an overrun never sneaks up. Budgets can sit at the Project, Task, or SubTask level, each with its own alert thresholds.

How does time approval work before it counts toward billing?

Time entries follow a Draft → Submitted → Approved/Rejected workflow. Approvers get a pending-approvals queue, can bulk-approve, can reject with a comment explaining why, and there's an approval history for an audit-style trail. The result is clean, approved numbers you can rely on for billing (approvals are on Professional and up).

Can the Timix.AI assistant actually log my time, or does it just answer questions?

Both. Timix.AI (from Starter up) logs time from a plain sentence like "log 2 hours on the Acme redesign," and it answers questions about your hours, budgets, project status, unbilled time, and customers using your live data. Admins and Owners can even have it draft a national-holiday profile, with a mandatory confirmation step before anything is saved.

Can I run Timix from my own AI assistant — without logging in?

Yes. Timix.AI ships an MCP server, so you can connect your favorite AI assistant — Claude, ChatGPT, Cursor, or any MCP-compatible client — and run your account in plain language: set up clients and projects, log time, manage your team, and pull live numbers, without ever opening the app. It runs on your own AI subscription using your own tokens, everything stays scoped to your role and organization, sensitive actions confirm before they run, and a connection can only do what your role allows (Professional and up).

Is my data used to train the AI?

No. Timix.AI runs on Google Cloud Vertex AI, and your prompts and data are used only to answer your questions inside your own workspace — they are not used to train AI models and are never shared with or used to benefit other organizations. The assistant also only ever sees data the asking user already has permission to see.

Data, security & access

Can I control who sees rates, costs, and profit numbers?

Yes. Access is role-based across both the app and the API, with 6 roles — Owner, Admin, Finance, Manager, Member, Viewer. Cost rates, profit, and margin are restricted by role — Owners, Admins, and Finance see them, Managers see project-level rates, and a Member logs time against the work they're assigned and never stumbles onto another client's rates or the firm's margins. You control who sees the money side by assigning each person a role.

Is my client and financial data isolated from other companies?

Yes — Timix is multi-tenant by design, and every organization's data is fully isolated, enforced on every request across both the app and the API. One login can belong to several organizations (handy for consultants), and they never see each other's data.

Can I export my data, or am I locked in?

Export anytime — your time, billing, and report data comes out as CSV or PDF. There's no lock-in and no export fee; your data is yours to take with you, during a trial or after.

If I cancel, what happens to my data?

You keep full access through your grace period, after which the workspace becomes read-only. Your data is kept for 90 days after cancellation — export anytime in that window — and is then permanently deleted. Inside the app, deleted items sit in a 30-day Recycle Bin before they're purged.
