Time tracking built for IT services teams and MSPs

Ten clients, forty projects, one team. Timix.AI maps every hour to the client, SOW, and budget it belongs to — so T&M hours get billed, fixed-price work stops slipping away, and utilization becomes a number you trust.

90-day free trial, full access, no credit card.

One week, every client filed
  • Acme Corp · support retainer — T&M 11.5 h
  • Initech · platform build — Fixed Price 18.0 h
  • Internal · standups & admin — OVH 4.5 h
  • Budget burn · platform build 82% of cap

01 The problem

Multi-client chaos eats your margin

When a team splits its week across a dozen clients, the failure mode is always the same: hours land in the wrong bucket, or never land at all.

Time scattered across clients and projects

Engineers jump between tickets, sprints, and SOWs all day. If reporting time across different projects is hard, it gets done badly on Friday — from memory — or not at all. Every forgotten hour on a T&M contract is revenue you already paid salaries for.

Fixed-price work silently eats the margin

A fixed-price SOW looks healthy until somebody finally adds up the hours. Without live budget burn against the cap, scope creep doesn't announce itself — it shows up after sign-off, when there's nothing left to do but absorb it.

Engineers hate timesheets

Every minute of timesheet admin is resented, non-billable overhead. If logging time takes longer than it's worth, your data quality — and the utilization numbers built on it — are fiction.

02 How Timix.AI fits

From client to ticket: tracking, budgets, and utilization

The hierarchy, billing types, and budget alerts were designed for businesses running many clients in parallel — which is to say, for you.

Per-client projects that mirror your SOWs

The hierarchy is Customer → Project → Task → SubTask, so a client's SOW maps straight onto the tree: SOW as project, epics as tasks, tickets as subtasks. Rates and billing types cascade down and can be overridden at any level.

Auto-SubTask creation: if a task has no subtasks, Timix.AI creates one — structure never blocks an engineer logging time.

T&M and fixed price, side by side, both correct

Run a support retainer on Time & Materials next to a fixed-price build in the same client tree. T&M computes hours times rate; Fixed Price tracks the contract amount against cost; Overhead (OVH) keeps internal work out of the billable numbers.

3 billing types — T&M, Fixed Price, OVH — coexist in one project tree, with allowed types inherited downward.

Budget burn alerts before the overrun

Set fixed or hour-cap budgets at Project, Task, or SubTask level with soft and hard limits. Timix.AI computes budget health from live hours and raises alerts at thresholds you choose — while there's still budget left to manage.

Soft limits warn, hard limits stop — enforced at the moment of time entry, not in next month's report.

Entry fast enough for engineers

A persistent timer that survives navigation, a week grid with Copy Last Week, and Timix.AI: type "log 2 hours on the Initech build" and it's logged. Resource utilization and team performance reports come out the other end.

Time entry by timer, week grid, or calendar — or one sentence to Timix.AI on all paid plans.

By role

One ledger, read differently

Owner, Admin, Finance, Manager, Member, Viewer — six roles, scoped so each person sees exactly what they should.

Owner / Admin

Run the whole shop: stand up clients and SOWs, set customer and cost rates, wire up budgets and alert thresholds, and watch utilization and margin across every account from the dashboard.

Manager

Own a book of clients. Approve or reject submitted hours with a reason, keep the pending queue clear, and catch a fixed-price SOW running hot before it eats the margin.

Member / Viewer

Engineers (Members) log against the tickets and SOWs they're assigned to via timer, week grid, or one sentence to Timix.AI. Viewers — a client lead or an auditor — get read-only sight of the numbers, nothing more.

03 See it with real data

Open the IT-services demo — no signup

A pre-seeded IT-services organization with clients, SOW-style projects, budgets mid-burn, and weeks of time data. Read the reports, trip a budget alert, ask Timix.AI which projects are running hot. It resets every 48 hours, so break whatever you like.

04 FAQ

Time tracking for IT teams, asked plainly

Can we track T&M and fixed-price SOWs for the same client?

Yes. Billing types are set per Project, Task, or SubTask, with allowed types inherited down the tree. A client can have a T&M support retainer and a fixed-price build running side by side, each computed correctly — and Overhead (OVH) keeps internal work out of the billable numbers.

How do budget alerts work on fixed-price projects?

Set a fixed-amount budget or T&M hour caps at Project, Task, or SubTask level. Soft limits warn; hard limits stop further entries. Alerts fire at thresholds you configure as live hours accumulate, and budget health shows on the dashboard, in reports, and in Timix.AI.

Will engineers actually log their time?

That's the design goal: a persistent timer that survives navigation, a week grid with Copy Last Week, duration or start/end entry with overlap prevention — and on all paid plans, Timix.AI logs an entry from a plain sentence.

Does Timix.AI integrate with our PSA or ticketing system?

There are no ready-made third-party connectors today, but Professional and Business plans include a key-authenticated Integration API covering customers, projects, tasks, and time data, so your team can build its own sync. For getting existing data in, bulk CSV import covers customers, projects, tasks, and subtasks with full validation.
