Labor time and cost tracking for construction

Labor hours scatter across five active jobs and you don't see the real cost against the bid until closeout — when the margin's already gone. Timix.AI is the office-side ledger: it maps every hour to the job and phase it belongs to, burns it down against the labor budget live, and flags the overrun while you can still act on it.

01 The problem

You find out what a job cost after it's too late to fix

On a contractor's books the most expensive number is labor — and it's the one nobody sees in real time. Hours get logged from memory on Friday, land on the wrong job, and the bid-vs-actual reckoning waits until closeout.

Labor hours scattered across active jobs

Crews jump between sites and a phase change rarely gets noted. Time logged from memory at the end of the week lands on the wrong job — or never lands at all — and every hour in the wrong bucket corrupts the job cost you'll price the next bid from.

Fixed-bid jobs bleed margin on change orders

A fixed-bid job looks healthy until someone finally totals the labor. Without live budget burn against the bid, a string of small change orders doesn't announce itself — it shows up at closeout, when there's nothing left to do but absorb it.

Shared and overhead labor has nowhere honest to go

Yard time, travel, prep, cleanup — real labor cost that isn't billable to any one job. Dumped into a billable phase it inflates that job; ignored, it hides your true cost of doing work. Either way the margin math is fiction.

02 How Timix.AI fits

Back-office labor cost tracking, without the field-app overhead

Timix.AI is the office-side labor ledger: it structures your jobs, burns labor budgets down live, and shows cost against the bid on every hour — set up in minutes, not a payroll rollout. It's not a full job-cost-accounting system; it costs the labor.

A job-and-phase tree your team won't fight

The hierarchy is Customer → Project → Task → SubTask, so it reads as job → phase → work item. A general contractor sits at the top, each job is a Project, each phase a Task, the work itself a SubTask — and if a phase has no work item yet, one is created automatically so structure never blocks the office logging a crew's labor.

Auto-SubTask creation: a phase always has somewhere to log labor, with zero setup friction.

Fixed-bid, T&M and yard time in one tree

Run a fixed-bid remodel next to T&M / cost-plus electrical next to internal yard time, all under one customer. Fixed Price tracks the contract amount against committed labor cost; Time & Materials computes hours times rate; Overhead (OVH) keeps non-billable labor out of the billable numbers — so you see committed labor cost against the bid on every job.

3 billing types — T&M, Fixed Price, OVH — coexist in one job tree, with allowed types inherited down the phases.

Labor budget burn, flagged before closeout

Set a fixed-dollar or hour-cap labor budget at job, phase, or work-item level with soft and hard limits. Timix.AI computes burn from live hours and raises alerts at the threshold you choose — phase by phase, before the overrun, not at job close.

The soft cap warns the office, the hard cap blocks the entry — checked as labor is logged against the bid, not at the closeout reckoning.

Labor cost vs billable on every hour

Each hour carries a customer (bill) rate and an employee cost rate, so margin rolls up per phase and per job. Cost rates are effective-dated, so a wage change doesn't rewrite what a finished job actually cost. Export bid-vs-actual labor and Customer Billing reports to PDF or CSV.

Dual rates plus effective-dated cost-rate history: historical job costs stay correct when wages change.

A pre-seeded contractor organization: jobs as projects, phases as tasks, fixed-bid and T&M work side by side, labor budgets mid-burn, and weeks of crew hours. Read the bid-vs-actual numbers, trip a budget alert, ask Timix AI which jobs are running hot. It resets every 48 hours, so break whatever you like.

04 FAQ

Construction time tracking, asked plainly

Is this a payroll or crew-clock-in app?

No, and we won't pretend it is. Timix.AI is the office-side labor time and budget ledger — it tracks hours against jobs and phases and exports the numbers. There's no payroll run, no GPS or geofencing, and no clock-in kiosk. It's an installable web app (PWA) — add it to a phone's home screen and it keeps tracking time offline — but it's office-side labor time, not a GPS field-monitoring app.

Can I track materials and equipment costs too?

Timix.AI costs **labor** — hours against jobs and phases, with bill and cost rates feeding margin. It is not a full job-cost-accounting system: materials, equipment, and other expenses live in your accounting tool. Use Custom Fields to record references like a PO number on a job if you need them on the time record.

Can I run fixed-bid and T&M jobs for the same customer?

Yes. Billing types are set per Project, Task, or SubTask with allowed types inherited down the tree, so one customer can have a fixed-bid remodel and a T&M / cost-plus job running at once, each computed correctly. Overhead (OVH) keeps yard and travel labor out of the billable totals.

Does it create invoices or AIA draw schedules?

Timix.AI generates standard commercial invoices from labor hours on Professional and up — but not construction-specific AIA G702/G703, draw schedules, or lien waivers. It produces billing-ready labor and bid-vs-actual reports (PDF or CSV) that feed whatever you bill and draw from.
