Project budget tracking

Project budget tracking with overrun alerts

A budget you only check in next month's report is a budget you can't manage. Timix.AI tracks budget against actual hours live and raises soft and hard alerts before a project blows its cap — at the project, task, or subtask level, your choice.

90-day free trial, full access, no credit card.

Three budgets, watched live
  • Platform build · project budget 82% of cap
  • Discovery phase · task hour cap hard limit hit
  • QA pass · subtask budget 54% of cap
  • Alert threshold · 80% soft limit firing

01 The problem

Budgets you find out about too late

A budget is only useful if it warns you while you can still act. Most teams learn a project went over the same way every time — in a report, a week after the money was already spent.

Budget vs actual lags behind the work

If "how much budget is left?" depends on someone compiling a report, the answer is always stale. The hours kept accumulating while the spreadsheet sat still, and by the time the variance is visible, the overrun is history.

One budget per project is too coarse

A project can be on budget overall while one phase is bleeding and another is barely touched. A single project-level number averages the trouble away — you need the budget where the work actually happens to see what's really going wrong.

A warning with no teeth changes nothing

A budget bar that just turns red is a notification, not a control. Without a limit that can actually warn the right people — or stop entries — the overrun proceeds on schedule and the alert is just commentary.

02 How Timix.AI fits

Budgets at three levels, with soft and hard limits

Budget tracking here goes deeper than a single project bar: per-level budgets, two kinds of limit, and a threshold you set — all computed from live hours.

Budgets at project, task, or subtask level

Put a budget exactly where the risk is. A whole project can carry a cap, and so can a single phase or work item beneath it — so a bleeding phase shows up on its own budget instead of hiding inside the project average.

Budgets configurable at Project, Task, or SubTask level — three levels, not one.

Soft limits that warn, hard limits that stop

Every budget carries two limits. The soft limit raises a warning as hours cross it; the hard limit stops further time entries on that budget. Enforcement happens at the moment of entry — not in next month's reconciliation.

Soft and hard limits on every budget, enforced at the moment of time entry.

Fixed-amount or hour-cap budgets

Budget in money or in hours, whichever your work is measured in. Set a fixed dollar amount, or an hour cap for T&M work — both burn down from live hours and trip the same alerts.

Budgets as a fixed amount or T&M hour caps, computed from live actual hours.

Thresholds, dashboard, and Timix.AI

Pick the alert point that fits your nerve — Timix.AI fires as live hours cross it. Budget health shows on the dashboard and in the Budget vs Actual report, and you can ask Timix.AI "which projects are over budget?" instead of building a report.

Configurable thresholds; budget health on the dashboard, in reports, and answerable through Timix.AI (Starter+).

By role

One ledger, read differently

Owner, Admin, Finance, Manager, Member, Viewer — six roles, scoped so each person sees exactly what they should.

Owner / Admin

Set budgets at project, task, or subtask level, pick the soft and hard caps, and choose the threshold the team gets warned at. The Budget vs Actual report and dashboard tiles roll every project's burn into one view they can export.

Manager

Watch the phases they own burn down live, catch the soft-limit warning while there's still room to re-plan, and approve the hours feeding the number — Draft → Submitted → Approved, with reject-and-reason when an entry looks off.

Member / Viewer

Members log against the budget and hit the hard limit at the ceiling instead of blowing it silently; viewers read the same budget-vs-actual picture without being able to change a cap or a rate.

03 Try it on your projects

Set a budget and trip the alert

Create a workspace, put budgets on a project and one of its phases, set a soft threshold and a hard limit, then log hours until the alert fires. See budget vs actual move live on your own numbers — full access, every report, for 90 days, no card.

04 FAQ

Budget tracking, asked and answered

Can I set budgets below the project level?

Yes. Budgets work at Project, Task, or SubTask level, so a single phase or work item can carry its own cap. That's how a bleeding phase shows up on its own budget instead of being averaged away inside the project total.

What's the difference between a soft and a hard limit?

The soft limit raises a warning at a threshold you set; the hard limit stops further time entries on that budget. Both are computed from live hours and enforced at the moment of entry, not in a later report.

Are alerts emailed or scheduled?

Budget health is live in the app — on the dashboard, in the Budget vs Actual report, and through Timix.AI on all paid plans. There are no scheduled or emailed reports; reports are on-demand with PDF and CSV export.

Can I budget in hours instead of money?

Yes. A budget can be a fixed amount or a T&M hour cap. Both burn down from actual hours and trip the same soft and hard limits and thresholds.
