Billable hours tracker

A billable hours tracker that actually catches the hours

The hours you forget to log are the ones you'd have billed. Timix.AI is built to capture every one — a timer that survives navigation, one-tap favorites for the work you log daily, and Timix.AI that logs from a plain sentence — then it splits billable from overhead and hands you approved, billing-ready hours.

90-day free trial, full access, no credit card.

One person, one day, fully captured
  • Billable — client work 6.5 h
  • Overhead (OVH) — standups & admin 1.5 h
  • Billable share of the day 81%
  • Captured by timer + AI sentence 8.0 h

01 The problem

The hour you never logged is gone for good

A billable hours tracker only earns its keep if the hours get into it. The losses aren't dramatic — they're the small, in-between minutes nobody thinks are worth a timesheet line, and they add up to a quiet pay cut.

Friday reconstruction loses the small stuff

When the week gets logged from memory on Friday afternoon, the quick call, the context switch, the after-hours fix all evaporate. What's left is a rounded-down guess that under-states what you actually did.

Billable and overhead blur into one number

If every hour goes into one undifferentiated bucket, you can't tell the revenue-earning work from the standups and admin — so your billable percentage, the number that decides whether the month worked, is a guess.

Raw hours aren't something you can bill

A pile of timer entries isn't a defensible record. Without a review step between logging and billing, you're either invoicing un-checked time or re-keying it by hand into a clean format first.

02 How Timix.AI fits

Capture fast, classify, approve, export

Timix.AI treats capture as the whole game: make logging frictionless, keep billable separate from overhead, and turn raw hours into approved ones you can hand off.

Capture three ways, whichever fits the moment

A persistent timer that keeps running as you move around the app, a week grid for entering after the fact, or a calendar view — plus favorites that pre-fill the client and task you log against every day, so a repeat entry is one tap.

Persistent cross-navigation timer, week grid, and calendar entry, with one-tap time-entry favorites.

Log a sentence, get an entry

Type "log 90 minutes on the Acme migration this afternoon" to Timix.AI and it creates the entry — the lowest-friction path there is, so the in-between minutes actually get recorded.

Timix.AI logs a time entry from a plain sentence (Starter+).

Billable kept apart from overhead

Every hour is tagged through its billing type — Time & Materials, Fixed Price, or Overhead — so revenue-earning work and internal time never share a bucket, and your billable share is a real figure.

3 billing types (T&M / Fixed Price / Overhead) classify every hour as billable or internal.

From captured to billing-ready

Raw entries pass through Draft → Submitted → Approved, with reject-and-reason and an approval history, then become a commercial invoice you send (Professional+), or export as Unbilled Time and Customer Billing reports to PDF or CSV for the tool you bill from.

Approval workflow (reject-with-reason + history); Unbilled Time & Customer Billing → PDF/CSV.

By role

One ledger, read differently

Owner, Admin, Finance, Manager, Member, Viewer — six roles, scoped so each person sees exactly what they should.

Owner / Admin

See captured hours roll up across the whole team, set customer and cost rates so each hour carries its billable and cost value, and export Customer Billing and Unbilled Time for the billing run — billable share visible at the top.

Manager

Review what their team captured, approve or reject-with-reason before it's billed, and lean on the Weekly and Employee Timesheet reports to spot the person whose Friday reconstruction is thinning out.

Member / Viewer

Members capture with the timer, favorites, or a sentence to Timix.AI and submit for approval; viewers read the timesheets and billable totals without being able to edit an entry or a rate.

03 See it with real data

Open the demo and read a week of captured hours

A pre-seeded IT-services organization with weeks of time already captured: billable client work next to overhead, the timer and favorites in use, and Unbilled Time ready to export. Trip an approval, ask Timix.AI to log a sentence, read the billable share. It resets every 48 hours, so break what you like.

04 FAQ

Billable hours tracking, asked and answered

How do I capture an hour without stopping to fill in a form?

Three ways: start the persistent timer and it keeps running as you move around the app; tap a favorite that pre-fills the client and task you log daily; or tell Timix.AI "log 45 minutes on the Globex build" and it creates the entry. Timix.AI sentence logging is on all paid plans.

How does it tell billable hours from non-billable time?

By billing type. Client work is Time & Materials or Fixed Price; standups, admin, and internal time are Overhead (OVH). Because every hour carries one, your billable share is computed, not estimated — and overhead stays out of what you bill.

Does it send the invoice once the hours are tracked?

Yes — on Professional and up, Timix.AI turns approved hours into a commercial invoice (line items, your tax rate, totals, a branded PDF to send). You can also export Unbilled Time and Customer Billing reports to PDF or CSV, or push them to your accounting tool for country-specific tax compliance.

Is there a free version, or do I have to pay to track hours?

Capturing and approving hours, billing types, and the core reports are available from the free tier up. The 90-day reverse trial gives you full access to everything — AI sentence logging and the Integration API live on Professional and above — with no card.
