Freelancers & independent consultants

Time tracking for freelancers who want every hour to count

You're a team of one billing a handful of clients — and the small in-between hours never make it onto an invoice. Timix.AI captures every one with a persistent timer, one-tap favorites, and AI sentence logging, then prices each hour twice so you finally see your real effective rate, not the one on the quote.

90-day free trial, full access, no credit card.

01 The problem

Busy every week, still leaving money on the table

A solo operator's failure mode isn't laziness — it's leakage. The small in-between hours never get logged, the effective rate quietly drops below the quote, and the admin of billing three ways eats the evenings.

The small hours never make it onto an invoice

The quick call, the one more tweak, the context switch — reconstructed from memory on Friday, they round down to nothing. Those in-between minutes are exactly the hours a solo would have billed, and every one you drop is a quiet pay cut.

Profitable on paper, underpaid in practice

You can name each client's revenue, but not its margin. Once scope creep, unpaid revisions, and admin are counted, the quoted rate collapses to a much lower effective one — and on a fixed fee, you eat every extra hour yourself.

Three billing models, then the fight to get paid

One client on day rates, one on a fixed deliverable, one on retainer — plus invoicing and chasing on top. Raw timer entries aren't something you can defensibly bill, so the admin tax lands on the one person doing everything: you.

02 How Timix.AI fits

Catch every hour, then see what it really earned

Capture is the whole game for a team of one: make logging frictionless, keep billable apart from overhead, and let two rates turn those hours into your real effective rate — then bill them, however each client is priced.

Capture three ways, so nothing slips

A persistent timer that keeps running as you move around the app, a week grid for filling in after the fact, and one-tap favorites that pre-fill the client and task you log daily. On paid plans, tell Timix.AI "log 45 minutes on the Northwind build" and it creates the entry — the lowest-friction path there is.

Persistent cross-navigation timer, week grid, and calendar entry, with one-tap time-entry favorites; AI sentence logging on Starter+.

Every hour priced twice, so you see your real rate

Each entry carries a customer rate for revenue and a cost rate for what the hour costs you, so revenue, cost, profit, and margin roll up per subtask, project, and client. Your effective rate stops being a guess — and the client that looked best by revenue is rarely the one that pays best by the hour.

Dual customer + cost rates → revenue, cost, profit, and margin roll up SubTask → Task → Project → Customer (Professional+).

Budgets that warn before a fixed fee goes underwater

Set a fixed-amount or hour-cap budget on a fixed-fee project or a retainer; Timix.AI burns it down against live hours and raises an alert at the threshold you pick. Scope creep surfaces mid-project, while there's still something you can do about it — not after sign-off.

Fixed-amount or hour-cap budgets at project, task, or subtask; soft limits warn, hard limits stop at time of entry, with threshold alerts from live hours.

Bill it however the client is priced

T&M, fixed price, and overhead live in one client tree with their own rates and caps, and approval turns raw hours into billing-ready ones. From there, generate a branded commercial invoice, or export Unbilled Time and Customer Billing to PDF or CSV for the accounting tool you already bill from.

3 billing types (T&M, Fixed Price, OVH) in one tree; approval workflow, then a commercial invoice (Professional+) or Unbilled Time / Customer Billing exported to PDF/CSV.

3 ways to capture an hour — timer, week grid, or calendar
2 rates on every hour — customer rate and cost rate

By role

One ledger, read differently

Owner, Admin, Finance, Manager, Member, Viewer — six roles, scoped so each person sees exactly what they should.

Owner / Admin

As a team of one you're the Owner: set your customer and cost rates, wire up budgets and alert thresholds on fixed fees and retainers, and read effective rate and margin across every client from one dashboard.

Manager

Bring on a subcontractor or an associate and you can hand them a book of clients. They approve or reject submitted hours with a reason, keep the pending queue clear, and catch a fixed fee running hot before it eats the margin.

Member / Viewer

A subcontractor (Member) logs against the projects they're assigned to by timer, favorite, or a sentence to Timix.AI. A Viewer — your bookkeeper or accountant — gets read-only sight of the billing numbers, nothing more.

03 Try it on your own clients

See your real rate on your own numbers

Create a workspace, add your clients and projects, set customer and cost rates, and log a week — then read your effective rate, margin per client, and Unbilled Time on your own numbers, not ours. Full access for 90 days, every report included.

04 FAQ

Freelancer time tracking, asked and answered

Is there a free plan, or do I have to pay to track my hours?

There's a free tier for a team of one — up to five users, no card — covering time capture, the approval step, billing types, and the core reports. The 90-day reverse trial adds full access to everything, with AI sentence logging on Starter and up and commercial invoicing on Professional and up.

How do I catch the small hours I always forget to log?

Three low-friction ways: start the persistent timer and it keeps running as you move around the app; tap a favorite that pre-fills the client and task you bill most; or, on paid plans, tell Timix.AI "log 30 minutes on the Beta retainer" and it writes the entry. The point is to make the in-between minutes worth capturing.

Can it show my real effective rate and margin per client?

Yes. Every hour carries a customer rate and your cost rate, so revenue, cost, profit, and margin roll up from subtask to client — your effective rate is computed from real hours, not the number on the quote. Revenue Analysis and Unbilled Time reports rank it per client; per-client margin rollups are on Professional and up.

I bill some clients hourly, some fixed-fee, some on retainer. Can it handle all three?

All three, in one client tree. Time & Materials, Fixed Price, and Overhead are set per project, task, or subtask and inherit down the tree. Fixed fees and retainers get an hour-cap or fixed-amount budget with soft and hard limits and threshold alerts, so you see the overrun coming.

Does it send invoices, or only track the hours?

On Professional and up, approved hours become a commercial invoice — line items, your tax rate, a branded PDF to send. You can also export Unbilled Time and Customer Billing to PDF or CSV for your accounting tool. There's no native QuickBooks or Xero connector; a key-authenticated Integration API (Professional+) covers a custom sync.
