Video & media production

Time tracking for video and media production teams

A day-rate shoot, a fixed-bid edit, and a re-cut nobody quoted — all on one production. Timix.AI tracks each on its own terms, warns before the edit burns through its budget, and turns your crew's hours into a margin number you can see per production.

90-day free trial, full access, no credit card.

One production, shoot and edit filed
  • Hartwell · brand film — shoot day (T&M) 19.0 h
  • Hartwell · brand film — edit & revisions (Fixed Price) 22.5 h
  • Internal · gear prep & color-suite (OVH) 6.0 h
  • Budget burn · Hartwell edit 85% of budget

01 The problem

The revision rounds are where the margin goes

Production studios don't lose money on the shoot they quoted. They lose it on the fourth cut nobody counted, the day-rate account that quietly ran at cost, and the editor time no one ever logged.

Revision rounds are the margin leak nobody counts

The quote covers two or three rounds; the fifth re-cut after a new stakeholder joins the approval chain is 'just one small change'. On a fixed-bid edit those extra hours almost never get billed — they come straight off the studio's side, and the overrun only surfaces at the post-mortem when there's nothing left to renegotiate.

Mixed billing on one production blurs what actually earned

A single client spans a day-rate shoot, a fixed-bid deliverable package, and non-billable studio time — pitches, gear prep, unbilled re-cuts. When it all lands in one bucket you can't tell shoot margin from edit margin from overhead drift, so you keep feeding the account that's underwater.

Salaried crew time is invisible, so utilization is a guess

Editors, colorists, and motion designers are a fixed payroll cost: every hour not converted to billable output is cost with no revenue. But creatives resent timesheets — if logging interrupts the edit, the work wins and the data never exists, and utilization becomes a number you make up.

02 How Timix.AI fits

Shoot, edit, and studio time — each tracked on its own terms

Three billing types, budget alerts computed from live hours, and dual-rate margin were built for work that mixes day rates, fixed bids, and overhead in one client tree — which is the whole production business.

Edit budgets that warn before the re-cut eats the fee

Put a fixed-amount or hour-cap budget on each fixed-bid deliverable, with soft limits that warn and hard limits that stop. Timix.AI burns it down from live hours and alerts at the threshold you pick — so the post supervisor sees 'the Hartwell cut is at 85% of budget' with revisions still coming, not after the overrun is already spent.

Fixed or hour-cap budgets at Project, Task, and SubTask level — soft limits warn, hard limits stop at the moment of entry, all computed from live hours.

Day-rate shoot, fixed-bid edit, studio time — side by side

Run the shoot as Time & Materials on a day rate, the edit and deliverables as Fixed Price tracked against cost, and pitches, gear prep, and unbilled re-cuts as Overhead — all in one client tree. Each billing type computes on its own terms, so shoot burn and edit margin never blur together.

3 billing types — T&M, Fixed Price, OVH — coexist in one client tree, with allowed types inherited down the hierarchy.

Margin per production, not just per client

Dual cost and customer rates roll revenue, cost, profit, and margin up per production and per client, so you can see whether the shoot carried the job or the edit gave it back. Log revision rounds as their own task and the giveaway becomes visible — and quotable next time.

Dual cost and bill rates roll revenue, cost, profit, and margin up per production and per client in Revenue Analysis (Professional+).

Entry fast enough for the edit bay

A persistent timer that survives navigation, a week grid with Copy Last Week, and Timix.AI — type 'log 4 hours on the Acme edit' and it's filed. Resource Utilization turns that capture into a billable ratio; Unbilled Time surfaces hours logged but never invoiced.

Timer, week grid, or one sentence to Timix.AI on all paid plans; auto- SubTask creation means logging is never blocked by missing structure.

By role

One ledger, read differently

Owner, Admin, Finance, Manager, Member, Viewer — six roles, scoped so each person sees exactly what they should.

Owner / Admin

Run the studio: stand up clients and productions, set customer and cost rates, wire budgets and alert thresholds on every fixed-bid edit, and read margin per production and per client in Revenue Analysis.

Manager

Post supervisors and producers own a book of productions. Approve or reject submitted hours with a reason, keep the pending queue clear, and catch an edit running hot at 80% of budget — before the next revision round spends what's left.

Member / Viewer

Editors, colorists, and DPs (Members) log against the shoot or edit they're assigned to via timer, week grid, or one sentence to Timix.AI. Viewers — a finance partner or an executive producer — get read-only sight of the numbers, nothing more.

03 Try it on a real production

Put your next edit on a budget

Create a workspace, set a Fixed Price budget on one edit, log the shoot as T&M alongside it, and watch budget health move as the hours land. By the end of the week you'll know exactly where the deliverable stands — and which side of the production is carrying the margin.

04 FAQ

Production time tracking, asked straight

Can we run a day-rate shoot and a fixed-bid edit for the same client?

Yes. Billing types are set per Project, Task, or SubTask, with allowed types inherited down the tree. One client can carry a T&M day-rate shoot and a Fixed Price edit at the same time, each computed correctly — and Overhead (OVH) keeps pitches, gear prep, and unbilled re-cuts out of the billable numbers.

How do we finally stop giving away revision rounds?

Log each revision round as its own task under the edit, and set a budget on the deliverable. Soft limits warn and hard limits stop as live hours accumulate, so the round that blows past the quote is visible while it's happening. Unbilled Time then surfaces every extra hour, so you decide to bill it or absorb it on purpose — Timix.AI won't auto-bill, but it makes the giveaway impossible to miss.

Will our editors and colorists actually log their time?

That's the design goal. A persistent timer that survives navigation, a week grid with Copy Last Week, duration or start/end entry with overlap prevention — and on all paid plans, Timix.AI files an entry from one plain sentence like 'log 4 hours on the Acme edit'.

Can we tell shoot margin from edit margin?

Yes. Set dual cost and customer rates and each billing type computes on its own terms, so Revenue Analysis rolls revenue, cost, profit, and margin up per production and per client — the day-rate shoot and the fixed-bid edit report separately, not as one blended number. Margin roll-ups are on Professional and Business plans.

Does it integrate with our production or accounting tools?

There are no ready-made connectors for Frame.io, an NLE, or QuickBooks/Xero — Timix.AI tracks labour hours, budgets, and margin only. Professional and Business plans include a key-authenticated Integration API covering customers, projects, tasks, and time to build your own sync, and bulk CSV import brings existing clients, projects, tasks, and subtasks in with full validation.
